Venue:
The conference will take place at Shonan Village Center at Hayama in Japan,
which is located on the Miura peninsula on Sagami Bay, and lies about 2
hours Southwest of Tokyo, and 3 hours from Narita airport. Hayama is famous
as the location of a holiday house of the Japanese Royal Family. The conference
centre is located on a hill and enjoys a clear view of Mt. Fuji over the
bay. The ancient Japanese capital of Kamakura village is easily accessed
from Hayama, where you can explore historical temples and shrines in beautiful
late-autumn colours. We welcome you to Hayama this December!

Accommodation:
(1) Shonan Village Center (SVC, Venue)
~90 people are accommodated in the attached guest rooms at the Venue.
Please note that the sizes of the rooms and therefore the prices are slightly
different. We hope your acceptance of our room allocation which was done
not too intentionally.

(2) YOMIKO Shonan OVA (OVA)
~25 people are accommodated in this lodge. It is about 10-15min walk from
the Venue. This is also a nice accommodation. Breakfast is served between
7:30-8:00 at OVA (for those who requested breakfast), but lunches/dinners
will be taken either at SVC or at other restaurants, etc, during your stay.

(3) Hotel Trinity Yokosuka (Trinity)
Some participants are accommodated in this hotel at the downtown Yokosuka.
It is a 30-min ride on a local public bus to the Venue. The bus stop is
just in front of the Hotel and the Keikyu Shioiri station. Please note
that the buses are not frequent, and make sure to get on a right bus to
get to the Venue in time.

All the other participants are assumed to have their own arrangements for
accommodation.
Regardless of where you stay, you are all welcome to use any facilities
at the Venue (SVC) such as the swimming pool.
Reception Desk:
Our reception desk will be open for 16:00-20:00 on 10th Dec at the Venue.
Those who arrive late can pick up your room key at the front desk of the
Venue, and come to our reception desk on the following morning between
8:00-8:45(-13:00) on 11th Dec. If you arrive later of the week and our
reception desk is closed, go to the front desk of the Venue for your room
key and payment, and then come to the LOC office near the conference room
for your
conference kit.
Currencies and Payment:
You may want to use the current (20/11/2007) exchange rates:
1USD = 110Yen, 1Euro = 162Yen, 1GBP = 227Yen.
You are requested to make a full payment at our reception desk when you
arrive at the Venue. The payment must be made either by a credit card or
in cash (Yen). This will inculde registration fee, accommodation (SVC/OVA/Trinity),
meals, banquet, and excursions. Any extra charges (such as telephone, drinks,
snacks) should be fixed when you check out at the front desk, either by
a credit card or in cash. Please note that the front desk will be open
between 7:00-23:00, and if you leave in the morning earlier than 7:00,
you should fix your bill on the previous evening.
Major credit cards, such as VISA, MasterCard, Diners Club, AMEX, JCB are
widely accepted at hotels, department stores, souvenir shops, restaurants,
and JR stations. However, some local restaurants and local shops may accept
only cash (Yen).
You can exchange your currencies (cash or major traveller's check) at the
front desk of the Venue with a relatively high handling charge. But you
are advised to make exchange at the airports. There are some cashing machines
in Kamakura and Zushi but none around the Venue.
Cancellation:
In case of late cancellation, you will be charged on your credit card a
cancellation fee according to our cancellation policy (available on our
registration page on the web).
Welcome Drink / Dinner on 10th:
The Welcome Drink (free of charge) will be served between 17:30 and 19:30
on 10th Dec at the Venue. Light snacks will be also provided. Dinner at
the venue on 10th (if you checked it out) will be served between 19:00
and 20:30. Don't be late for that, if you have a reservation.
Oral Presentations:
We will prepare a Mac and a Windows machines for your presentaion. You
may use your own laptop, if that is necessary. If you have any special
request, such as OHP or slide projector, please contact us well in advance.
Poster Presentations:
The size of a poster board will be 180cm (vertical) x 90cm (holizontal).
Pins will be provided which you use to stick your poster on the board.
Banquet:
Banquet will start at 18:30 on 14th Dec with a music stage of Japanese
traditional instruments (Koto and Shamisen), followed by a buffet style
dinner (with some chairs) and some short speaches. Children under 12 years
old will have a half price discount.

Internet Connection:
* Venue (SVC)
Wireless internet connection is available everywhere in the loby of the
Venue.
No internet connection is available in the conference room (except for
the speakers), so that you can concentrate on the talks. In the guest rooms,
you can connect your laptop to the internet using your own LAN cable which
you must bring over.
* OVA
You can connect your laptop to the internet using your own LAN cable which
you must bring over.
* Hotel Trinity Yokosuka
ADSL internet connection is available in your room with a provided cable.
Conference Photo:
Conference photo will be taken in the lunch break (12:00-12:30) on 12th
Dec in the Green Park behind the Venue which commands a panoramic view
towards the Sagami bay and Mt. Fuji on a clear day. A cabinet size copy
(120mm x 210mm) of the photo will be given to each participant on 14th.
The fee is included in the registration fee.
Proceedings:
We have signed the agreement with the Astronomical Society of the Pacific
Conference Series (ASPCS) on that our proceedings papers are published
in ASPCS within 6 months after the end of the meeting. We will collect
manuscripts of all the contributions (invited/oral/poster), and a copy
of the proceedings book will be sent to all the participants in due course.
The cost is included in your registration fee.
Weather and Clothes:
Early-mid December at Hayama is the beginning of winter, and the temperatures
will be 10-15 degrees centigrade (max) in the day time and ~5 degrees centigrade
(min) in the nights. It is much colder in Hakone due to its altitude (max
9deg, min -3deg). Therefore, we recommend you to bring a jacket or a coat
with you. At the same time, you may want to bring a swimsuit, since the
Venue has a warmed swimming pool. Also, those who go to the Hakone excursion
and selected the option 1, Spa (Spa), may want to wear a swimsuit in the
spa.
We would need an assistance by the global (or local) warming to keep the
late-autumn colours be waiting for your visit to Kamakura...
Temperature has suddenly dropped recently here in Tokyo, and Mt. Fuji is
beautifully covered by white snow on its upper half.
