************ The Final (4th) Circular ************ This is probably the final circular with the final programme and the up-to-dated practical information of The 1st Subaru International Conference: "Panoramic Views of Galaxy Formation and Evolution" to be held for 11-16 December 2007 at Hayama in Japan. http://www.naoj.org/SubaruConf07/ [Conference Programme] The current (probably final) version (26/11/2007) of the conference programme is available on our web. [Accommodation] (1) Shonan Village Center (SVC, Venue) ~90 people are accommodated in the attached guest rooms at the Venue. Please note that the sizes of the rooms and therefore the prices are slightly different. We hope your acceptance of our room allocation which was done not too intentionally. (2) YOMIKO Shonan OVA (OVA) ~25 people are accommodated in this lodge. It is about 10-15min walk from the Venue. This is also a nice accommodation. Breakfast is served between 7:30-8:00 at OVA (for those who requested breakfast), but lunches/dinners will be taken either at SVC or at other restaurants, etc, during your stay. See the bottom of [Travel] section below for access to OVA. A map indicating bus stops and a way between OVA and SVC is provided on our Travel page on the web (local map of the Shonan Village). (3) Hotel Trinity Yokosuka (Trinity) Some participants are accommodated in this hotel at the downtown Yokosuka. It is a 30-min ride on a local public bus to the Venue. The bus stop is just in front of the Hotel and the Keikyu Shioiri station. Please note that the buses are not frequent, and make sure to get on a right bus on a right time to get to the Venue in time. The bus fare is 380 Yen. The local bus timetable is available at http://www.shonan-village.co.jp/english/bus.timetable_E.html All the other participants are assumed to have their own arrangements for accommodation. Regardless of where you stay, you are all welcome to use any facilities at the Venue (SVC) such as the swimming pool. Get off at Zushi Station. (~2 hrs 30 mins from Narita Airport). or Take JR Narita Express. Change at Yokohama (or Shinagawa) Station to JR Yokosuka Line. Get off at Zushi Station (~2 hrs from Narita Airport). At JR Zushi station, follow the English sign 'East Exit'. Once you go out the gate at the east exit, immediately go to the left, pass a coffee shop 'DOUTOR' on your left and proceed to the bus-stop No.1. From the bus-stop No.1, take Keikyu Bus (No. 16 or No. 26), and get off at 'Shonan Kokusaimura Center' (~30 mins), which is located just in front of the Venue. The bus fare is 340 Yen. We will arrange some free conference buses on 10th Dec (see below). By taxi, it will take ~20 min and cost you ~3000 Yen. For those staying at 'YOMIKO Shonan OVA', if you are on a No.16 bus, the nearest bus stop is 'Shonan Kokusaimura Bus Terminal'(a minute walk up the road to OVA) which is the next and the terminal stop after 'Shonan Kokusaimura Center'. However, if you take No.26, you should get off at 'Shonan Kokusaimura Tsutsuji-ga-oka' which is one stop before 'Shonan Kokusaimura Center', since it will terminate at 'Shonan Kokusaimura Center' and will not reach to 'Shonan Kokusaimura Bus Terminal'. It is 5 minutes walk down the road from the bus stop (Shonan Kokusaimura Tsutsuji-ga-oka) to OVA. Once you drop your luggages in your room, you can then walk to the Venue (10-15min) for reception, welcome drink, and dinner. See the local map of the Shonan Village available on our Travel page on the web for directions. It may be confusing to you that all the three bus stops sound similar (the first part 'Shonan Kokusaimura' is actually identical), and there will be no English guide on the bus. You should listen and concentrate on the latter part for a difference ("Tsutsuji-ga-oka" or "Center" or "Bus Terminal", in the order of bus stop). It is not a big deal though, since all the three bus stops are located within walking distance anyway (10-15 minutes). Please also try to listen and catch the previous bus stop before 'Shonan Kokusaimura Tsutsuji-ga-oka' which will be 'Kogane-zaka-bashi', so that you can prepare. Have a good adventure! [Conference Buses] We will arrange the following conference buses that you can take free of charge (there are some changes from the previous schedule announced upon registration): Zushi --> Venue 10 Dec (Mon), 15:45 (wait for the direct train from Narita Airport 13:00-15:33, and arrive in time for the Welcome Drink) 10 Dec (Mon), 19:10 (wait for Narita express + rapid train from Narita Airport 16:43-18:57, and arrive in time for the dinner) Venue --> Zushi 16 Dec (Sun), 06:30 (skip breakfast at the venue and catch the direct train to Narita Airport 7:11-9:58) 16 Dec (Sun), 09:30 (have breakfast at the venue and catch the direct train to Narita Airport 10:21-12:42) 17 Dec (Mon), 07:30 (skip breakfast at the venue and catch the direct train to Narita Airport 8:19-10:42) The onward buses will stop at OVA first and then go to SVC (Venue), and the return buses will depart from SVC, stop at OVA and then go down to Zushi. [Weather and Clothes] Early-mid December at Hayama/Kamakura is the beginning of winter, and the temperatures will be 10-15 degrees centigrade (max) in the day time and ~5 degrees centigrade (min) in the nights. It is much colder in Hakone due to its altitude (max=9deg, min=-3deg). Therefore, we recommend you to bring a jacket or a coat with you. At the same time, you may want to bring a swimsuit, since the Venue has a warmed swimming pool. Also, those who go to the Hakone excursion and selected the option 1 (Spa) may want to wear a swimsuit in the spa. We would need an assistance by the global (or local) warming to keep the late-autumn colours be waiting for your visit to Kamakura... ;) Temperature has suddenly dropped recently here in Tokyo, and Mt. Fuji is beautifully covered by white snow on its upper half. [Reception Desk] Our reception desk will be open for 16:00-20:00 on 10th Dec at the Venue. Those who arrive late can pick up your room key at the front desk of the Venue, and come to our reception desk on the following morning between 8:00-8:45(-13:00) on 11th Dec. If you arrive in later of the week and our reception desk is closed, go to the front desk of the Venue for your room key and payment, and then come to the LOC office near the conference room for your conference kit. [Currencies and Payment] You may want to use the current (27/11/2007) exchange rates: 1USD = 108Yen, 1Euro = 161Yen, and 1GBP = 224Yen. You are requested to make a full payment at our reception desk when you arrive at the Venue. The payment must be made either by a credit card or in cash (Yen). This will include registration fee, accommodation (SVC/OVA/Trinity), meals, banquet, and excursions. Any extra charges (such as telephone, drinks, snacks) should be fixed when you check out at the front desk, either by a credit card or in cash. Please note that the front desk will be open between 7:00-23:00, and if you leave in the morning earlier than 7:00, you should fix your bill on the previous evening. Major credit cards, such as VISA, MasterCard, Diners Club, AMEX, JCB are widely accepted at hotels, department stores, souvenir shops, restaurants, and JR stations. However, some local restaurants and local shops may accept only cash (Yen). You can exchange your currencies (cash or major traveller's check) at the front desk of the Venue with a relatively high handling charge. But you are advised to make exchange at the airports. There are some cashing machines in Kamakura and Zushi but none around the Venue. [Cancellation] In case of late cancellation, you will be charged on your credit card a cancellation fee according to our cancellation policy (available on our registration page on the web). [Welcome Drink / Dinner on 10th] The Welcome Drink (free of charge) will be served between 17:30 and 19:30 on 10th Dec at the Venue. Light snacks will also be provided. Dinner at the venue on 10th (if you checked it out) will be served between 19:00 and 20:30. Don't be late for that, if you have a reservation. [Banquet] Banquet will start at 18:30 on 14th Dec with a music stage performance of Japanese traditional instruments (Koto and Shamisen), followed by a buffet style dinner (with some chairs) and some short speaches to celebrate Prof. Okamura's 60th anniversary and Prof. Kodaira's retirement. A half price discount will be applied to Children under 12 years old. [Excursions] Details to be announced later. [Internet Connection] *Venue (SVC) Wireless internet connection is available everywhere in the loby of the Venue. No internet connection is available in the conference room (except for the speakers), so that you can concentrate on the talks ;) In the guest rooms, you can connect your laptop to the internet using your own LAN cable which you must bring over. *OVA You can connect your laptop to the internet using your own LAN cable which you must bring over. *Hotel Trinity Yokosuka ADSL internet connection is available in your room with a provided cable. [Proceedings] We have signed the agreement with the Astronomical Society of the Pacific Conference Series (ASPCS) on that our proceedings papers are published in ASPCS within 6 months after the end of the meeting. We will collect manuscripts of all the contributions (invited/oral/poster), and a copy of the proceedings book will be sent to all the participants in due course. The cost is included in your registration fee. [Oral Presentations] We will prepare a Mac and a Windows machines for your presentaion, and we will download your presentation files into these machines using a memory stick in advance. You may use your own laptop, if that is necessary. You are requested to come to the stage and check your presentation files with an assistance of a staff member in the breaks in advance. Those in the early morning sessions should do so by the previous evening. If you have any special request, such as an OHP or a slide projector, please contact us well in advance. [Poster Presentations] The size of a poster board will be 180cm (hight) x 90cm (width). Pins will be provided which you can use to stick your poster on the board. [Conference Photo] Conference photo will be taken in the lunch break (12:00-12:30) on 12th Dec in the Green Park behind the Venue which commands a panoramic view towards the Sagami bay and Mt. Fuji on a clear day. A cabinet size copy (120mm x 210mm) of the photo will be given to each participant on 14th or later. The fee is included in the registration fee. That's it.
